5. Educational nature of our services

Our services are educational. We provide frameworks, tools and training to support clinicians' professional development.

We do not provide medical or clinical treatment. All content is for educational purposes only and does not replace independent professional judgement.

We do not ask for sensitive health information. You are responsible for making sure any case-related information you share in our programs or community is appropriately de-identified. We are not responsible for personal or sensitive information you choose to disclose.

6. Your responsibility for shared information

If you share content in our programs, community or communications:

• You are responsible for making sure it does not contain identifiable personal or health information about third parties
• We do not verify or monitor all user-submitted content
• We are not responsible for information shared by users

7. Call recordings and use of content

We may record calls, coaching sessions or other communications for:

• Training and quality assurance
• Internal review
• Educational or content development purposes

We will tell you at the start of any call we record. We use Fathom, an AI-assisted tool, to record, transcribe and summarise calls. By staying on a call after we have told you it is being recorded, you consent to the recording.

Where recordings are used for educational or marketing purposes:

• We take reasonable steps to remove or obscure identifying information
• We will ask for your explicit consent before publishing identifiable video or audio from coaching sessions
• We will not intentionally publish identifiable personal information without your consent

8. Testimonials and public reviews

If you submit a public review (for example on Google Reviews), that content is publicly available and we may use it in our marketing without further consent.

If we want to feature your name, image, words or likeness in marketing beyond what is publicly available in your review, we will ask for your explicit consent first.

9. The Wheelchair Warrior™ directory

Clinicians recognised as a Wheelchair Warrior™ may be listed in our public directory at wheelieworx.com/warrior. A listing can show the clinician's name, photo, profession, practice name and logo, the area they cover, their email address and their website.

We only list a clinician after they have agreed to be listed. We place map pins on a suburb or town, never on a home address.

Listed clinicians can ask us to update or remove their listing at any time by emailing education@wheelieworx.com. We will action requests within a reasonable time.

10. Payments

All payments are processed by secure third-party providers, including Stripe through GoHighLevel. We do not store your payment card details.

11. Third-party services

We use third-party platforms and service providers to run our business. These include:

• GoHighLevel - our CRM, forms, booking, program delivery and community platform
• Stripe - payment processing
• Meta and LinkedIn - advertising platforms
• Google Analytics and Google Tag Manager - website analytics
• Fathom - AI-assisted call recording, transcription and summaries
• Netlify - hosts our free Seating Assessment and Complex Seating Calculator
• Supabase - secure database for our lead and client records
• OpenStreetMap - the map and suburb search on our Find a Wheelchair Warrior™ page. When the map loads, your browser shares your IP address with OpenStreetMap to fetch the map images. Any suburb or postcode you type into the search is sent to OpenStreetMap to find it.
• Google Fonts - the fonts on our website. Your browser shares your IP address with Google to load them.
• SiteGround and Cloudflare - website hosting and security
• AI-assisted tools - for transcription, drafting and internal support

These providers may store data in Australia or overseas, including in the United States. We take reasonable steps to use reputable providers with appropriate data handling practices.

12. Community platform

Our member community runs on GoHighLevel's Memberships platform. Content you post in the community is visible to other members.

Please do not share identifiable client or patient information in the community. You are responsible for making sure any case-related content you share is appropriately de-identified.

13. Cookies and tracking

We use cookies and similar technologies (including pixels) to:

• Make our website work and improve your experience
• Analyse usage and performance
• Show relevant advertising, including retargeting on Meta

Your information may be transferred to and stored outside Australia, including by third-party providers based in the United States. By using our services, you consent to this transfer. We take reasonable steps to make sure these providers handle your data appropriately.
